00:00:10
Hello and welcome to this short training session on Office MOOC
00:00:13
training.
00:00:14
These sessions are related to specific products and
00:00:16
this particular
00:00:17
one is entitled Yammer Enterprise Social
00:00:19
Network.
00:00:20
My name is Steven Ryan and I'll be your trainer for
00:00:21
this short session.
00:00:25
So, in this session will look at the Yammer social networking
00:00:27
product in Office 365.
00:00:29
We'll start looking at how Yammer can be used to communicate and
00:00:33
how it can provide cool string and co-editing capabilities
00:00:36
and finally how Yammer can be used to enable coworkers to
00:00:38
participate in the creation of content.
00:00:42
The goal being to identify that Office 365 tool for facilitating
00:00:46
and improving social networking.
00:00:47
It will have a look at the rest
00:00:49
of the available curriculum tools for this course.
00:00:55
But before we look at these tools that have a quick
00:00:58
introduction to the Office 365 environment.
00:01:06
So Office 365 is a subscription service from Microsoft that
00:01:09
gives organization cloud based environment, not only for
00:01:11
communication between the colleagues and for them to work
00:01:14
together collaboratively. Also for the storage of files and
00:01:16
documents. Office 365 provides organizations with a cloud based
00:01:20
Mail service, so Exchange online; cloud based communication tool
00:01:23
and service through the Skype for Business online and cloud
00:01:26
based websites through
00:01:27
SharePoint online.
00:01:29
And also along with that, you get online
00:01:31
versions of the Office application suite, namely Word
00:01:34
Excel, PowerPoint, and OneNote.
00:01:38
So you can access your Office 365 subscription by navigating
00:01:41
your web browser to portal.office.com and this could be
00:01:44
done for all kinds of devices such as notebooks and PC's and
00:01:47
tablets and mobiles.
00:01:49
Listen take you to your home page or landing
00:01:52
page.
00:01:53
We can either click
00:01:54
the icon in the top left corner,
00:01:55
which we refer to as the Start menu Online or Office 365 start
00:01:58
button or on the home page itself.
00:02:01
You can click on the
00:02:02
different tiles available to access the various services and
00:02:04
applications, such as my own calendar,
00:02:06
and OneDrive and Sharepoint
00:02:07
and the online application suites; Office application suite.
00:02:12
So let's take a look at that live online demo
00:02:15
environment now.
00:02:20
So here's a demo Office 365 environment tenant and you can
00:02:26
see we got our Welcome page
00:02:27
here, so home landing page.
00:02:29
We get access to the online applications.
00:02:31
So you can see, we
00:02:32
have tiles here for Mail and Calendar and People,
00:02:34
Yammer,
00:02:35
OneDrive SharePoint, etc.
00:02:36
Exceed also got tiles for the online
00:02:38
versions of office applications Word, Excel, PowerPoint and OneNote.
00:02:44
Let me click on the top left corner. This is our start menu;
00:02:47
Start menu Online; or Office 365 start menu.
00:02:50
We can click on that
00:02:51
again.
00:02:52
Get access to all those tiles so this is iaccessible
00:02:53
from wherever we are within Office 365, whereas these tiles
00:02:56
are only available on the on the home landing page.
00:02:59
So we're
00:03:00
going to use the start button to navigate from application to
00:03:01
application and again we can see the tiles there for those
00:03:05
different services; those different apps.
00:03:07
You can also modify that list, if you want to add or remove
00:03:10
tiles from this sort of launchpad here.
00:03:12
We can click
00:03:13
on the ellipsis button.
00:03:14
The three dots and choose
00:03:15
to unpin that from the app launcher.
00:03:18
For example, if we
00:03:19
click on "View all my apps".
00:03:20
We can add tiles back to it
00:03:22
again.
00:03:25
To get a list of all our applications.
00:03:27
We can then select
00:03:28
again.
00:03:29
The ellipsis button to add a tile back. So for that
00:03:32
Power BI tiles back.
00:03:34
We can click on that and choose pinned to app launcher.
00:03:36
If we want to add in a tile that wasn't on there
00:03:38
before we want to add the store tile. Again, click on the ellipsis
00:03:41
button, "Pinned app launcher".
00:03:42
If we now look on the start button.
00:03:45
We"ll see those tiles are back on
00:03:48
there?
00:03:49
And the store has been added as well. Said switch back
00:03:51
to your home page.
00:03:52
Just click the link in the Top navigation
00:03:54
bar. Click on Office 365 takes you back to your home page.
00:04:03
Couple things to shop here : we got the note.
00:04:05
We gotta help menu
00:04:06
here.
00:04:07
We've got notifications that pops up, and let you know
00:04:08
if your subscription to ending or if you got a new application
00:04:11
available for example, down here, so that's all
00:04:14
notifications.
00:04:15
We've also got settings on the cog icon. Click
00:04:16
on the cog icon.
00:04:18
We can do things like change our theme, our
00:04:20
look and feel for this
00:04:23
tenants. There is a lot of different color themes as you can see,
00:04:25
there, we've got some animated ones.
00:04:27
I got some colorful,
00:04:29
cartoon style ones, like cats and
00:04:31
robots and
00:04:33
Lego bricks for example. Let's choose robots
00:04:36
and save that thing.
00:04:40
And then we can also do things like modify our start page.
00:04:43
So rather than landing on this default Office 365 home page.
00:04:46
You can click on the drop down list and select another
00:04:48
application.
00:04:49
So perhaps you want to start in Mail.
00:04:50
Let me log in
00:04:51
the morning in the Mail app.
00:04:52
We can do that and make that our
00:04:53
home page,
00:04:54
or start page, when we login.
00:04:55
It's also other options and there are things like
00:04:57
notifications where they want
00:04:59
reminders and sounds.
00:05:01
Also pack change your password and then
00:05:03
language and time zone settings in there as well.
00:05:08
OK and then to switch between applications as
00:05:11
we make click on our
00:05:13
Start menu in the top left corner. Click on a tile to open
00:05:15
applications such as Mail.
00:05:34
And you'll see that that theme is sort of permeated throughout
00:05:36
the product sits in the Mail
00:05:39
part of Outlook, as well as it is
00:05:40
in the Calendar and the
00:05:42
People apps as well. So if we switch to the Calendar
00:05:46
for example, click on start menu again.
00:05:51
Click on the calendar tile.
00:05:56
And we can see that same theme in the calendar there. And again
00:05:59
we can just switch from app to app using the start menu.
00:06:03
up here.
00:06:04
If you want to click on People to see a list of Contacts.
00:06:11
OK, so it's just show you how we switch from application to
00:06:14
application.
00:06:15
You can use that start menu
00:06:16
in the top left corner.
00:06:17
If we want to get back to homepage, initial landing page
00:06:19
click on the Office 365 link. It takes us back to that page.
00:06:27
And see the bottom page,
00:06:28
we get a list of recent documents
00:06:30
we have accessed as well.
00:06:32
OK let's switch back to the slides for a moment.
00:06:36
So we saw how we can access portal.office.com to access
00:06:39
Office 365 tenant and click in the start menu
00:06:43
in the top left
00:06:44
corner to access our
00:06:46
various applications and services on the Top left corner.
00:06:48
So let's have a look at the Yammer tool now that discussing
00:06:51
this session.
00:06:52
We can look at in 3 aspects of Yammer for communication, for
00:06:55
sort of co-editing, co-authoring and
00:06:57
for participation.
00:06:59
So we can communicate instantly using as
00:07:02
well, see a little demo at the chat facility.
00:07:04
There's a chat
00:07:05
box available within the
00:07:06
Yammer tool.
00:07:07
We can also
00:07:09
use the Yammer open office to look for topics
00:07:11
You're interested in
00:07:12
in sort of targeted automatic groups and communicate
00:07:15
with our coworkers internally, using internal groups or with
00:07:18
partners; external partners; again who may have a common interest
00:07:23
or common need or common project. Perhaps you're working on.
00:07:26
You can then use Yammer post ideas and questions and discussions to a
00:07:30
team or group, as a post; as an update; to ensure each sort of
00:07:34
wide range of people who share that common interest; or need; or
00:07:36
working on the same project; or document issue for example.
00:07:39
And maybe want to assist you. So let's have a look at that in
00:07:42
the live environment.
00:07:46
So first off, we need to open Yammer, so we can either do
00:07:48
that, from home page.
00:07:49
Let's get used to using the start menu up
00:07:51
in the top left corner.
00:07:52
I can click on the tile or a right
00:07:54
click on it, and choose "Open in new tab" if I want to.
00:07:57
And Yammer will load up.
00:08:02
And we can see in here, we got posts or update.
00:08:04
Some other
00:08:05
people for myself; from other people in my work group down
00:08:08
here, that we can scroll down and see.
00:08:10
There's a few tools to look at in here, so you can... have a search
00:08:14
box up here, let's you search for
00:08:16
documents or people or groups.
00:08:18
I could search particular person.
00:08:20
That view and
00:08:21
good his colleague of mine.
00:08:22
And hover over that person to click, and access their details.
00:08:29
I can see, things that they've posted; any conversation
00:08:31
they've been involved in
00:08:32
or images or files if they've posted it. Notice that
00:08:35
you can send each other message. Using this button,
00:08:37
I can unfollow or
00:08:38
follow from here as well.
00:08:39
So I can click on that unfollow and
00:08:41
then re-click on to follow
00:08:42
again.
00:08:43
Yammer
00:08:44
said just telling us
00:08:45
that from now we're
00:08:46
following that user.
00:08:48
Click on the home button to get back to
00:08:49
the homepage everywhere.
00:08:50
We gotta search box here, so we
00:08:52
could use for finding documents, if we ever look
00:08:54
for particular document types. Starts typing pass the name
00:08:58
and then you can see the document and access document
00:09:00
to select the document.
00:09:02
From there, so let's click on that
00:09:03
to open up the main "Mailling" document.
00:09:07
Ok, and we will look at this in the next demo in terms of co-authoring,
00:09:10
and co-editing.
00:09:10
So I'll go back to homepage.
00:09:11
That's just showing how you can search for items in the search box.
00:09:15
You also got
00:09:16
an inbox there, so for messages that come in from
00:09:19
other people, messages from the system, up here in your inbox.
00:09:23
And then you have a notifications bell here that
00:09:25
shows you changes in uploaded a new version of a document there.
00:09:29
You gotta new follower...
00:09:29
That kind of thing will appear
00:09:30
in your notifications list on here.
00:09:36
You will get a chat box down the bottom right corner.
00:09:37
So I click
00:09:38
on that chat box shows you who's online.
00:09:40
Currently, I can then
00:09:41
start chat with them again as you notice.
00:09:43
They has a hover
00:09:44
over them that pops up, with this sort of contact card.
00:09:51
And we create groups and join groups and view our groups.
00:09:57
These groups already created in here default group internal
00:10:01
group this one. This is
00:10:02
an external group.
00:10:04
Good ambiance team.
00:10:07
And within that group will be get conversation threads, there,
00:10:10
maybe files uploaded as well.
00:10:15
You can see the members are from this list over on the right you
00:10:18
can search the group and so on.
00:10:20
And we can use these buttons down here to create group, so
00:10:22
you can create
00:10:23
internal groups so that's for collaborating with
00:10:25
people inside your company. You assign it a name or just call it
00:10:28
test or something at the moment use that yet and it will just
00:10:31
let you know with that group names available.
00:10:33
Not you can
00:10:34
then start to add people to the list.
00:10:35
I started type in their
00:10:36
name at the most group members. You can decide whether it's
00:10:39
public, so anyone in the network can access it, or if it's private :
00:10:43
only approved members can access it people within the group.
00:10:47
And you can also create an
00:10:49
external group.
00:10:51
So it's it's for collaborating with people who
00:10:53
work outside your company. Again
00:10:55
you can give it a name.
00:10:57
Add people to the list.
00:10:59
Set them from recent lists or starts
00:11:01
typing their
00:11:04
email address for example.
00:11:10
And then create the group and do it that
00:11:13
way again. We got public
00:11:14
and private options as well for that.
00:11:22
We can't set back to the slides for minute.
00:11:27
So not only we can use Yammer for communication with internal
00:11:30
and external people will using the chat facility with instant
00:11:33
messaging chat.
00:11:35
We can also use Yammer as a co-editing, co-authoring tool.
00:11:40
This allows us to
00:11:42
infom interested parties, but updates who made the documents,
00:11:45
by posting a discussion.
00:11:46
Yammer upload the file for comment.
00:11:49
For example, you could ask people
00:11:50
to comment on that document.
00:11:53
You've seen conversation apply and conversational thread in Yammer.
00:11:56
You can use the Yammer chat facility,
00:11:58
we already saw before, to have a
00:11:59
quick chat with some colleagues
00:12:00
about those documents or projects
00:12:02
you're working on. And you can also click the link
00:12:04
within documents have been uploaded to open in the relevant
00:12:07
Office online app. It could be that PowerPoint or Excel,
00:12:11
OneNote or Word
00:12:12
to work on the document collaboratively with your
00:12:14
colleagues and that's what we see in a moment in in the demo.
00:12:18
So let's see that in the live environment.
00:12:23
So I could post an update to that external group that I created.
00:12:28
Informing about a new document.
00:12:30
So just saying "Please add comments this new charter
00:12:33
document."
00:12:37
And then I can decide to have them notifying so notice
00:12:39
it's defaulting to the team.
00:12:40
I can also add individual people in there as well
00:12:42
by clicking... clicking off the list as well.
00:12:45
If I click on the
00:12:48
paperclip icon over here across the upload files,
00:12:51
either files already been loaded into Yammer, upload a
00:12:53
file from local computer, cycle them browse to document,
00:12:56
selected document uploads : "Company charter" doc here.
00:13:01
It gets loaded into the post and I could then post
00:13:04
that updates in that comment to my team.
00:13:17
And then other members that team could then come in much the
00:13:20
same way.
00:13:21
And then access the document.
00:13:22
They can get click on
00:13:23
"Download" from here, they could add comments to that particular
00:13:27
conversation thread.
00:13:28
I could like it, they can share the
00:13:30
conversation with other people either in
00:13:33
another person; posted another group or as a private message with someone.
00:13:38
And they can do things like for view the
00:13:40
conversation; stop following conversations
00:13:43
if you're already following it.
00:13:45
And they can access the document itself, so they can
00:13:47
click on the document.
00:13:51
Open up in Word online in this case, it's a Word document and
00:13:53
they're looking at it.
00:13:54
We're on read only mode here.
00:13:55
So just viewing it.
00:13:57
They can download it, print it,
00:13:59
download as PDF... They can also
00:14:02
click on the "Go to file" down in the bottom right.
00:14:09
And from there, although getting better preview window, they can
00:14:12
also choose to edit the file.
00:14:19
Won't show then open up that document in Word online,
00:14:23
allowing him to start here working on that document, editing it.
00:14:26
So one thing to notice here.
00:14:27
It says documents saved to start
00:14:29
to make changes to that
00:14:30
document.
00:14:32
You see, this is saving very briefly then quickly saves it.
00:14:35
So when you're working the online
00:14:36
version of the document
00:14:38
here in this Word document access
00:14:39
from Yammer, you're updating
00:14:40
on the fly. So if you look at
00:14:41
the file menu, we'll see
00:14:42
there's no save option
00:14:43
as "Save as"... There's no save option
00:14:46
because they're automatically saved this little reminder that
00:14:49
tells you that.
00:14:51
So you're saving documents on the
00:14:52
fly as you work on them.
00:14:54
So that also means I could also collaborate with other people on
00:14:57
this document as well.
00:14:58
Let me just show you that in another demo.
00:15:00
To switch to another machine for a moment.
00:15:05
So for example, I could access this file here.
00:15:08
This is a file stored
00:15:09
in SharePoint light be.
00:15:10
For example, it's a OneNote file
00:15:11
like and then open that up in a new tab or opening this...
00:15:19
He's a one.
00:15:21
So it used to this is I can open that document.
00:15:26
And maybe I'm looking at it in sort of read only mode.
00:15:28
This is a OneNote file. If
00:15:29
I click on edit and then I can get the
00:15:31
option over there, to use it
00:15:32
in the full version of Microsoft.
00:15:33
OneNote, or in the browser based version IE OneNote online.
00:15:36
I'll select that option.
00:15:42
So I can then start to add some text in here, there is "User 2".
00:15:45
Note that it's being saved as we work on it.
00:15:54
And if I switch across the other.
00:15:58
Looking over here and then get..
00:16:04
Yeah, they use to log in and access the same file.
00:16:13
So it cames on read only mode, we can choose to edit in the
00:16:16
browser again here.
00:16:17
And as soon as I open that up, it says "User 2"
00:16:22
standard is also here like in the click on that
00:16:24
it says whereabouts they working if there's multiple pages or
00:16:26
show me which page.
00:16:27
They're working on.
00:16:28
Show me he's working
00:16:29
somewhere on this page.
00:16:32
And I'll see the changes that are they making to that document
00:16:35
as they work.
00:16:35
If I switch back to the other user
00:16:37
on the other page...
00:16:42
You see that they also get the message that another user is
00:16:45
working somewhere on that page.
00:16:48
You can choose the view authors
00:16:49
option up here.
00:16:50
Show authors to show which bits of contents may
00:16:53
have been created by who and you will see the additional content
00:16:57
being added as you start to work on it in the online version.
00:17:02
And as the page gets refresh, you'll see that content that
00:17:04
we're adding being
00:17:05
added to the page that I can have both see
00:17:08
that "User 1" and "User 2" content on the page.
00:17:10
So you can have
00:17:11
sort of real time collaboration.
00:17:13
I guess it's respect the slides aren't it?
00:17:16
So we've seen how we can use Yammer for allowing other people
00:17:19
to sort of contribute and create documents, other documents, and by
00:17:22
letting him co-author on documents.
00:17:27
But for lock documents, you can also use it by
00:17:31
asking people to participate.
00:17:35
As well as sort of contributing co-authoring on
00:17:36
the document by ask him to perhaps add comments about the
00:17:42
document as a conversation replying Yammer thread and you
00:17:44
can also create polls to obtain feedback on topics; or
00:17:47
on documents; or projects
00:17:48
you working on, related to your
00:17:50
team or your project. So it's about quick look at that in
00:17:52
the demo.
00:17:56
So I remember we uploaded that charter document America and ask
00:17:59
people to add comments on that new charter
00:18:01
we're doing. Created
00:18:02
that in there and we post the update in MBS team groups.
00:18:05
If we switch to the other user.
00:18:09
And I remember his team, this is John Doe, the "User 1" dot standard.
00:18:12
He can then reply to that
00:18:16
conversation, perhaps within additional information saying :
00:18:19
"I think you need
00:18:21
to change the intro or something?"
00:18:24
So they can post comments that without making
00:18:28
changes, the document.
00:18:29
If you're not going to allow them to, if
00:18:30
you've locked the document for editing.
00:18:31
You could just ask
00:18:32
members of the team to make comments about the document and
00:18:35
things they would suggest changing on it or approving it
00:18:37
or whatever. Or they could perhaps makes changes, download
00:18:41
a copy, make their own choices, and then upload those changes.
00:18:43
So you can review the changes.
00:18:44
They've made to their copy of
00:18:45
the document that kind of thing and they can just post that
00:18:49
as a conversation. And gradually as people add
00:18:51
more and more replies that that thread of conversation of
00:18:54
comments that builds up for that particular document,
00:18:56
we've uploaded into the Yammer team group.
00:19:03
Other people can also share that conversation again, so
00:19:06
they could share that to another group for example, now
00:19:09
that all the company or a team and then say mentioned
00:19:12
something at the conversation; sharing other people; they can
00:19:14
send as a private messages to someone, as well to have them
00:19:18
review that this comments or look at them and recomment
00:19:20
themselves for example.
00:19:24
So every now switch back to the other user and then look
00:19:27
at the under any other it conversations.
00:19:29
We can see that new comments.
00:19:31
That's been added there
00:19:32
Again, if we go to "All conversations" view
00:19:34
we will see that in there as well.
00:19:36
And when it is updated and who by and so on, you could
00:19:39
and then write a reply to that and say : "OK thanks"
00:19:48
into it, for example.
00:19:52
And start to build up in a thread of conversation thread
00:19:55
relating to comments on that document, or that project you're
00:19:58
working on for example.
00:20:04
So you can also create polls to obtain feedback on topics or
00:20:07
documents, or your team, or project.
00:20:10
So I can click on pole here.
00:20:13
Ask question in it.
00:20:16
Cause this doc need more work and then I could provide a pole.
00:20:22
And then I could send that to my team, or I could invite other
00:20:24
people individually to that, and then post that as a pole.
00:20:35
Within switch back to the other user, you see
00:20:37
a new update, so we've
00:20:38
just seen the addition of that
00:20:43
conversation thread, saying "OK thanks, I'll look into it". Now,
00:20:45
we got also this poll.
00:20:47
that's appeared as an update. So we
00:20:48
can say :"Does this doc need more work ?"
00:20:50
We think it "needs
00:20:51
a small change" for example, we can then vote on that.
00:20:56
Change a vote if you want to as well, and then share that with
00:20:58
someone else as well.
00:21:00
So lots of tools we have been there for
00:21:03
collaboration, and participation, and co-authoring, within the
00:21:06
Yammer tool.
00:21:07
Let's just go back to the slides.
00:21:12
So the Yammer tool we've looked at briefly in this session can help
00:21:15
you to improve communication, participation,
00:21:18
collaboration with
00:21:19
your colleagues, or partners, or working online. Office 365 itself
00:21:22
provides quick access to the Yammer app by the Office 365
00:21:26
home page.
00:21:27
Or the online start menu.
00:21:28
You can use Yammer for
00:21:29
communicating with coworkers and external partners within groups
00:21:32
or using the instantly with the
00:21:33
chat tool.
00:21:35
You can use Yammer to post updates about documents
00:21:38
or projects unity
00:21:39
you're working on, and then review
00:21:41
replies in that conversation thread relating to document or project.
00:21:44
You can upload copies of relevant files in your
00:21:47
Yammer post, so team members can view that document, comment on
00:21:49
them in the conversation thread. Also even open the links to the
00:21:53
docs, open work on them in the online version of the
00:21:57
application and possibly also collaboratively in co-authoring mode.
00:22:01
And lastly, you can use Yammer from your browser to
00:22:04
participate by adding replies to comment
00:22:06
conversation threads, or
00:22:07
by responding to polls to get feedback from your
00:22:10
coworkers, your colleagues, about a document or project
00:22:13
you're working on at the moment.
00:22:18
Now there are several post training resources available to
00:22:20
you to further enhance your MOOC training experience.
00:22:23
You can review the
00:22:24
recordings of previous webcast sessions, access
00:22:26
relevant video tutorials, review the usage scenarios situations
00:22:30
and provide feedback on your experience. And there's also
00:22:34
access to MOOC specific groups on Yammer for further information.
00:22:37
And to extend your support of the MOOC environment.
00:22:40
I'll just show you what
00:22:41
that home page
00:22:42
looks like on the MOOC portal for
00:22:44
accessing those webcast and training video resources
00:22:50
on this Office 365 live online training portal home page.
00:22:54
So you can
00:22:55
browse courses by use case,
00:22:58
by products on the use case for things like "communicate",
00:23:00
"share", "collaborate", "search", "produce"; products : "messaging tools",
00:23:04
"collaborative tools", "Office productivity", "Social networking"...
00:23:07
And then under "Getting started"
00:23:09
you gotta section for Office 2016, Outlook,
00:23:13
Excel, Word, PowerPoint, and then Skype for Business
00:23:15
and Sharepoint as well. And then when you find a
00:23:18
course you can click on it.
00:23:24
The also progress currently on that course
00:23:26
you can look under the course menu to see
00:23:27
resource is like when the next web conference
00:23:30
sessions are coming up.
00:23:34
View recordings of the previous web cast.
00:23:42
Review use case situation videos.
00:23:53
And of course access for the tutorials for the products related
00:23:57
to this course. In this case, things like Outlook and Skype
00:24:00
and Yammer for this particular course. And you can also access
00:24:03
the group discussions linked to go and log into the Yammer Group, and...
00:24:07
collaborate and participate, and participate
00:24:11
discussions with other people with a common thread in terms of
00:24:14
that course they've attended.
00:24:17
So that concludes this short session, I'd like to thank you for your attention.
