social networks businesses can help us too.

Its presentation is about use possibilities and you can use

So this is our situation.

You're late in submitting a report, so you finish a document

from your PC at home.

So how do you then inform and notify all your colleagues who

are interested in the report's publication ? In addition, you've already
00:01:09
shared a version in progress. You had to ensure the latest
00:01:11
version is what gets access to news by your colleagues.

So now I can see how some of these tools can
00:01:17
help us in that regard.

So with Office 365 your workers get access to the cloud.
00:01:30
They can get access to shared documents.
00:01:32
And they can share their own documents and files
00:01:34
with coworkers and external contacts if they want to as well.

Then they could also view and edit documents offline or online
00:01:43
and collaborate in real time on online files with their colleagues.

So let's first do a quick introduction to

Office 365 environment.

So Office 365 is a subscription service from Microsoft, that
00:02:00
gives organizations cloud based environment, not only for
00:02:03
communication with colleagues and working together
00:02:05
collaboratively but also for storage of files and documents.
00:02:09
It provides organizations with a cloud based Mail service through
00:02:12
the Exchange online service, cloud based communication tool,
00:02:15
and service, through Skype for Business online, and cloud based
00:02:18
websites for SharePoint online.
00:02:21
It will supervise online versions of the Office application
00:02:23
suite, such as Word, Excel, PowerPoint, and OneNote.
00:02:27
And you can access your Office 365 subscription portal by
00:02:29
navigating in a web browser to
00:02:31
portal.office.com. And this could be done for all kinds of
00:02:35
devices such as notebooks tablets, and mobiles, and home
00:02:39
PC's and so on.

And when you log in it will take you to your home page
00:02:43
or your landing page.

And for me, you can either click the icon on the Top left corner

up here, which we refer to as

Or on the landing page itself, you can just click

the different tiles to access the various

available services, such as Mail and Calendar.

Onedrive, SharePoint Yammer and then the Office online

applications such as Word, and PowerPoint and so on.

So let's have a quick look at that live environment in our

online demo environment.

So here we can see and Office

and on this page, we can see

and we got tiles that you can click on, to access the various

components of the Office service, Office 365 service.

So we got Mail and Calendar, People, Yammer, News feeds,

OneDrive, SharePoint, etc. We also got access to the

online Office applications such as Word, and Excel, PowerPoint, OneNote.

Up in the Top left corner, click up here. It's our start menu.

And again, you access the same tiles from here, to launch those

applications, so this button up in the Top left corner

is accessible from wherever you are so you don't have to go back to

this home page to select the tiles. But you can access them

from the home page as well. You can also modify this start menu

up here. You can see that as I hover reached the tiles, there

is little ellipsis button that pops up. So that means that you can

add tiles to it. We can remove tiles from it. So if

there's something we didn't want to be displayed on here we can

click on that and choose "Unpin from launcher" and then move it.

If you want to add a

tile to it, we can do that too by clicking on "View all my apps".

That then show us all the apps

available to add on the launcher. So we could add that Power BI

want back if we want to.

If we click on that start menu now, we'll see that we

got Power BI back, and the store tiles also been added as well.

back to the initial homepage. Initial landing page.

access and land on when you sign into your Office 365 subscription.

Couple of things I want to show you on here is

your notification. So notifications about services

appear up here on the notifications.

And your settings are on this cog icon at the Top right here.

So I click on the settings. You can do things like change your

theme for example, you know look and feel type stuff.

You can see, there's plenty to choose for lots of different colors

some are animated, some are not, all sorts of things in there like.

cats, and robots, and
00:05:23
different colors, and themes, and so on. So let's just
00:05:26
choose one from that list, there, choose the bricks.

And you can save that theme.

And you can also see from here, we can do things like modify
00:05:36
notifications, change our password, change language

settings, and we can also change this landing page to start page.

So if we choose rather than using the Office 365 home page

which is what it's currently set it as the default. Perhaps you

want to set it to be Mail, which means you know when we next log

into the tenancy, on this portal, it will open up in

the Mail application rather than this home page.

So it's useful if you use mail more often than any other of those service.

settings down again. I'll just show you how to launch these

various applications, so click

on the start menu. Click on the Mail tile.

Let's open that Mail component.

And we can see that theme that we selected sort of

permeates through the different products

available. It's Mail application.

Very easy to switch between them, just click on

a tile to switch to a different service like

calendar for example.

Again you can see the themes in there

as well. I will do the same thing, click on our People tile.

So we can see access to all our Contacts like our directory and

our personal Contacts.

So, in here we saw the portal, we saw how to access the portal

and we could see the tiles available on the home page. And we saw that

we can click on the start button up in the Top left corner, to

access the different tiles.

So let's start to have a look at some of these different

applications that are going to help us in our
00:07:28
particular need here.

So whether you decide you're going to finish your report online

or offline, or on your home, or work computer...The document access

will be different in each case, whichever you choose, though
00:07:40
it's easy to hide the downloaded documents work with offline and
00:07:43
it's also easy just to work with it in the online environment as well.

So, in OneDrive...

So we're looking at here or another document library in
00:07:52
SharePoint site for that matter. You can simply right click on
00:07:56
documents and files in there, to get access to the
00:08:00
various options available, like sharing it, and viewing it and so on.

You can also click the ellipsis button. That's a
00:08:05
little 3 dots next to the item in there. I will show you this in
00:08:09
a live environment in a moment and the kinds of things you
00:08:10
can do when you click on there.
00:08:12
Or right click on a document.

It allows you to do things like preview the document, open it,
00:08:18
using either the full Office application or the online version of it.

You can share the document with different
00:08:24
people or using a link as we'll see, and you can modify the
00:08:27
permissions and viewers permissions on our shared document.

You can also do other things like download the document as you said
00:08:35
for offline use, offline
00:08:37
modification, and you can also do things like follow the document.

Last thing we're gonna have a look at as well in a moment is looking at

the version history of documents. So this version

management going on, so you can right click on document, view its
00:08:53
version history, see how many versions there are, who made
00:08:56
it and when, any comments that been made on those amended versions

and you can also use the links in the Dropdown as you'll see in

a moment to actually

view that previous version, delete it or even restore it

back again. If you want to go back to... back in time to an
00:09:12
earlier version of that particular document.

Now, the people you shared documents with get automatically

notified if modifications are made to the document, and set terms

for automatic notification of

the beneficiary so... Once you've had a document shared
00:09:26
with, it will let you know when there's been changes

made to the document automatically. So let's go and
00:09:31
have a look at that in the online live demo environment.

So we can access OneDrive, either from the home page here,

or from the start menu up here. Click on the OneDrive tile.

We've got OneDrive open on a separate tab over here, and we

can see this is just a single document in there in that moment, and it

shows you know when it was modified, the size, who is
00:09:53
modified by, and if it's been shared with anyone. So it says

"Only you", so it's not been shared with anyone at the moment.

There is a few ways working with this document here, you can either

select the file over on the left and then use the menu bar that
00:10:05
appears at the Top to do things to it, like open it, share it,
00:10:09
download it, delete it, move it, copy, rename, and look at version
00:10:13
history, so that's one way of doing that or without
00:10:15
selecting it, you could just right click on the document.

Get this sort of context menu here again, you got the

same sort of options you can see up at the Top here, so open in
00:10:25
the online version of Word, or opening the full blown Word application.

Share it, get a link to it, download, delete,

move, copy, rename, and version history as well. So the same

sort of options are available up here, you can get on the right click here

So if you click on "Download", you can download a copy of it

locally and work on it that way, or if you want to work on it in

the online version without actually downloading it, you can

open it, either in Word online or in Word itself.

So how to open a document would just click... right click it.

Choose "Open in Word online".

And then open up on a separate tab.

And we can now see Word online loading.

As you can see there is access to all the various tools that you use, all

the common tools that using Word.

And one thing I notice straight away if you just have a

look in this Top menu bar. It shows "Document" and "Saved" at the
00:11:45
moment, it showed you I'm the one who's working on it.
00:11:47
If I make some changes to that document, start just typing in...
00:11:52
You'll see it changes to say "Saving" and then "Saved" again, very
00:11:54
quickly so within a few seconds ago, from "Saving" to "Saved".

So that's one thing to know when you're working the online
00:12:00
versions that there's no "Save" option in the file menu. So
00:12:03
there's a "Save as" but there's no "Save" because you don't need to
00:12:06
'cause it saves automatically, 'cause you're working the online version.

And the file is stored online.
00:12:12
Notice you can also choose "Edit in Word", so that
00:12:14
would then open up the document and be editing it in
00:12:16
the full blown version of Word or often in Word online.

Just switch back to OneDrive again.

So we can open it, using other version. You can also do things

like share it. Again we'll use the right click. Here are the Top
00:12:31
menu just to show you what we can do here. So click on "Share".

That allows us to either share it using an invitation

so we can choose to enter the name of someone.

Let me share with one of my users call "Vivien Goude", I can
00:12:52
decide whether I should allow them to view the document when
00:12:55
I share it with them or edit it.

Sort of "read or or change" essentially.

I can add a message that will be sent to him as well, as
00:13:03
part of this sort of sharing

invitation or... Perhaps tell him something about the document or
00:13:08
what to do with it for example, or something like that.

You can also choose the options here with the require sign in or not.

So if you don't require sign in it's more like an enormous invitation to that
00:13:17
picture, document, and you can send an

email invitation so they receive it in their inbox and they'll
00:13:22
know that you've shared that document with them. So that's
00:13:25
inviting people specifically by putting entering their names in
00:13:27
here. You can also share documents using a link.

So with this method you're providing a link to the document
00:13:34
and again, you can choose the type of link you want to
00:13:36
provide. Is it going to be restricted link only for specific people ?

Rather than to anyone anonymously, and then these other
00:13:42
links down here are kind of anonymous links. So you link for
00:13:47
a log which requires sign in for that company and edit link that
00:13:50
requires sign in and then there's a totally anonymous
00:13:53
view link, and an anonymous edit link. So each of these when you select
00:13:56
it just gives you a different type of link. When you click on "Create".

It creates a link which you can then... You can see they can
00:14:04
just click on "Copy". You can set an expiration on that link as
00:14:07
well if you want to. If you want it to last for a day or something.

And click on "Copy" and then once that's been
00:14:14
copy to the clipboard for example, you could do

something like open up Skype and type it into a chat
00:14:21
message window or something like that. Paste it into there
00:14:23
and it just pastes in that URL link to the document in that
00:14:25
essentially is a link to the location under guest token.

That's provided as part of that link to let them

access the document.

So different types of links are available in there. So based on

whether that person has to sign it or not, whether you want to be
00:14:48
able to view it or edit it as well. You can also from this

same box look at which

people have been shared with already. So with which

users this document has already been shared with. You can stop sharing from here,

you can email everyone that's in the share list.

You can click on "Advanced", it will take you off to more advanced permission

access for the document.

So other things we can do... Download it for example.

Delete it, move it, copy it, rename it and something else.

And we can also look at the version

history. So we click on "Version history".

That will show us, the different version, so you can

see, there's sort of a current version 3 and then previously

2, and 1. The date and time those modifications are done and who

by and what the sizes and potentially some comments as well.

So when you make changes you can provide a comment if

you want to which will appear in this list. Notice also,

these are linked. So we can then click on that drop down

list here and choose whether we want to view,

delete or restore back that previous version,

so that can now be done from the version history.

Couple things to note in here, that you got...

sync option appears for syncing with your local OneDrive

location on your local computer. So you can obviously download

documents from here, work on them offline, and then re-sync

come back into your OneDrive location again,

and then the sync button will automatically sync those files for you.

Similar process occurs when you're in a document library,

saying the SharePoint site. This is a very similar way of working. You

can right click, and get back to the same types of tools down

here. Again, you can open it in Word, in Word online and download, and share,

and so on. Version history, same sort of

capabilities. One extra thing you can see in here also is when

you use the ellipsis button

that you can get a quick preview of the document.

All the PowerPoint slideshow, whatever it is, you're working at,

in this little preview window. You can see who it's shared

to help in our situation. So just make sure that your

colleagues are made aware of changes solicitations of your

reports and they can get access to it. It's necessary to share

that information with your colleagues so they're aware.

And several methods of doing that.

In terms of enterprise social network, Yammer, you can

invite people so you can invite individual users.

Share that information as an

update. Try this sort of a single recipient of that. You
00:18:41
can use groups to send the information to several
00:18:44
recipients and you can use a catch all option, well, for
00:18:50
the whole company as you'll see to allow you to notify
00:18:53
everyone in one go, via an update, about an update to a file.

You can also attach files as part of the update
00:18:59
or you can just mention something or provide a link
00:19:01
to the document in there. Instead, if you'd rather than access
00:19:04
it highly shared resource in OneDrive.

And also notifications will be popping up, allowing people to

be notified about changes to that document or to that project

that you're working on.

Let's go and see that in the live environment now.

So again, Yammer can be accessed as a tile off here, from the

main landing home page, or from the Start menu online up in

the Top left corner. And again I've already got Yammer open on a

separate tab over here. We can see I'm in a

group over here, that I'm part member of. And I can
00:19:41
see updates been sent by the people who are members of this
00:19:44
community. This is a Yammer group, so it shows you updates
00:19:47
at occurring. You can do the kind of typical things you do with
00:19:50
social networking tools, to follow your document, or a conversation
00:19:55
and like it, and reply to it, share it, so I can click on "Share".

And then share that conversation by posting

it to a group for example, I can notify specific people.

And I can also send it as a private message.

Click on the ellipsis button next to that. It gives you a few more options

as well. Like stopping the following of

a conversation, or bookmarking a conversation,

or emailing me that conversation, or the message to you.

They end up here is where you post your updates, so you can

click in the box here, and decide on what you want to

and then, that's a good way of informing people. Remembers

Couple of things to note in here in Yammer: notifications and

inbox. The inbox is here. It is usually receive messages... Just

got a warning I haven't posted that...

post, which I'm going to ignore and carry on anyway.

I see that my inbox is selecting for me about messages from

people who are in the group or inform me about changes to the

group membership, that kind of thing... And same thing with notifications,

that notifies you of new followers or

updated files, and

updated group membership, that kind of thing.

And the last thing to see in here is also the search tool,

it's available to let you search for groups, or for particular resource

in groups, and there's also a chat box down here in the bottom

right corner, so for other people who are online in your

group you can use this chat window to discuss with them, in

topics that you are interested in and send the messages, that

kind of thing as well.

individuals, or groups of people, or the entire company.

And show them those reports in an upload

chat capabilities in Yammer as well to discuss with colleagues

you're working on in that group.

You can send inbox messages, you can send updates,

follow conversations, all that kind of things.

So the tool has been looking at briefly in this session can

help us share information and files to the right people,

working online documents of colleagues, either using online

tools, or offline tools, and we can share updates about files

interested parties to ensure they are aware of the latest

updates documents, and so they can get access to the latest

version of those updated documents.

So Office 365 provides easy access ability to those tools,

easy sharing capabilities, easy editing

and co-authoring, using online versions and online files.

One drive provides us with access to those files and

makes it easy for us to share them with people either within
00:23:46
the company or externally, using either links or specific
00:23:49
invitations. And along with Yammer, which is perhaps Yammer groups
00:23:53
dedicated to particular topics and subjects, you might be
00:23:55
working on, or clients you're working on, there's lots of
00:23:57
collaboration tools level in there, you can inform people
00:24:00
about changes, post updates or information about the project or
00:24:04
the report and let them know when there's been updates
00:24:06
to those files using notifications.
